Admission and Inquiry

Overview

The admission module manages prospective students (inquiries) through enrollment into active student records. Schools may use classic admission screens or the Admission CRM under Modern Modules.

Who can use it

Before you start

  • [ ] Active academic year configured
  • [ ] Class and section/division masters exist
  • [ ] Fee category and optional RTE/scholarship masters if used

Register a new inquiry (CRM)

  1. Open Modern Modules → Admission → Dashboard or Add Inquiry.
  2. Enter parent/student contact details, desired class, and source (walk-in, web, campaign).
  3. Save and note the inquiry number.
  4. Use Follow-up List to schedule calls and update status (Interested, Visit scheduled, Converted, etc.).

Admit a student (full enrollment)

  1. Open Masters → Student Master → Add Student (or equivalent admission menu).
  2. Fill mandatory sections:
  3. Personal details (name, DOB, gender, address)
  4. Class, Division, Academic Year
  5. Fees category and transport/hostel flags if applicable
  6. Parent/guardian contacts
  7. Upload photo and documents if required.
  8. Assign roll number (manual or auto per school rules).
  9. Click Save.

After save, the student appears in fee collection, attendance, and examination modules for the selected year and class.

Convert inquiry to admission

  1. Open Inquiry Detail from the inquiry list.
  2. Change status to Converted / Admitted.
  3. Use Create Student or link to Add Student with pre-filled data where supported.

Reports

  • Inquiry funnel by status and source
  • Conversion rate by counselor or campaign
  • Class-wise strength after admission

Tips

  • Keep mobile numbers accurate—they drive SMS and WhatsApp notifications.
  • Set fees category at admission to avoid billing errors later.
  • Use RTE/scholarship fields only when your state/board requires them.

Troubleshooting

Student not visible in fee collection — Confirm academic year, class assignment, and that fees structure exists for that class.

Duplicate admission number — Search student master before creating; merge or deactivate duplicate per school policy.
